General Conditions at first login

With the purpose to choose your investment with clarity, please read below our terms and conditions that shall apply to all our services and quotations in relation to the client. These terms and conditions are intended to be accepted by the clients who subscribe to our services.


1. Conditions for the sale of Sun Light Academy courses

Online Course: course delivered entirely online via Zoom
Certificate: proof that you have passed the final exam and/or that you have completed the prescribed number of hours in the program, issued by SunLight Academy, on paper or in electronic format.
Exam: a test of knowledge and demonstration of mastering the competencies related to the program, that leads to the recognition of a level of knowledge and mastery as outlined by SunLight Academy and by the ICF International Coaching Federation. The exam may be taken as a paper based test, a presentation or dissertation or online.
Contract/Agreement: the business proposal with the conditions for the sale of courses.
Registration and participation to SunLight Academy programs is limited to individuals who are 18 years of age or older.


2. Course enrollment confirmation

SunLight Academy reserves the right to check that the training contract, including the consent to use personal data, has been filled in correctly and signed by the Client. Course enrollment should not be considered confirmed until the signed contract has been received by SunLight Academy from the Client and until payment has been received by SunLight Academy by the Client, in line with the method and timing outlined in the agreement.

3. Exam and Certificate

When an exam is required to complete one of our courses, the exam dates will be scheduled by SunLight Academy and communicated to the Students during the course. In any case, the Certificates will only be issued to the Students after all the requirements for the certification are met and after the payment for the whole course has been completed.
4. Cancellation and refund
We do know the value of commitment, that is why our Academy commits to partner with you until full completion of the program. SunLight Academy has a 30 days refund policy. If after 30 days from the signature of the contract you find that our program is not aligned with your expectations, then you can apply for a refund. SunLight Academy will charge the amount of the coaching/training hours delivered + 300 € for admin fees.
For cancellations from the ‘Level 2 – Pathway to the PCC Credential’ certificate, SunLight Academy will charge the amount of 520 € to cover the training hours delivered and all the admin fees.
A refund cannot be given to participants who don’t take or complete the course after 30 days from purchase. In this case SunLight Academy offers to the client a compensation for the remaining amount through other services offered by our Academy.
No-shows at the scheduled classes, practice meetings or other events included in the training program will not qualify for a refund of fees. For reasons beyond the control of SunLight Academy, it may be necessary to change program content, speakers and/or time blocks. SunLight Academy is not liable for any changes.
5. Postponement or cancellation of scheduled courses
SunLight Academy reserves the right to cancel or modify the course dates, by informing the Participants of this within 5 working days from the beginning of the course. The course may be postponed on two consecutive occasions. On the third postponement, the Client may ask for the transfer of the paid sum for the course to other initiatives/courses. Any other form of compensation for the Client from SunLight Academy is excluded.

6. Partial Completion Policy

SunLight Academy and its Educators guarantee the management of the training process, but DOES NOT guarantee the individual results nor is the Educator/Trainer responsible for the achievement of the results deriving from the coaching process, due to the subjective type of relationship.
The Coach In Training is fully aware that this program does not constitute therapy and does not replace it if it is needed. The program does not prevent, cure or treat any type of mental disorder or pathology. The Student understands and agrees that he is fully responsible for his physical, mental and emotional well-being during each coaching and training meeting, including any consequences deriving from his choices and decisions.
The Coach In Training undertakes to participate in the entire Level 2 (former ACTP) training for a total of 130 hours (104 hours of synchronous online training sessions + 26 hours of self-study, as required by ICF) necessary to learn the ICF coaching skills, the ethics and principles of coaching for achieving the PCC ICF level of competence.
The Coach In Training is fully aware that they have up to a maximum of 18 months (from the date of the first training meeting) to complete the 130 hours of training towards certification.
The Coach In Training is responsible for achieving the PCC ICF level of coaching competence within the period mentioned above, which will give the right to receive the Level 2 (former ACTP) certification.
In the event that the Coach In Training does not reach the PCC ICF level within a maximum of 18 months from the beginning of the training, the Coach In Training is aware that SunLight Academy is authorized by ICF to issue a Level 1 (former ACSTH) certification.

7. Privacy and use of personal data

The information communicated by the Participants to SunLight Academy will be used exclusively to meet the objectives required by the courses and will be used in line with the security and confidentiality measures required by the law relating to the use of personal data.

8. Prerequisites to participate in our courses

In order to enroll in our courses, we ask our participants to share their CV with our Trainers, their motivations to become a coach and their interest and passion to work and partner with others.
The Clients declare to have fully understood which are the specific pre-requisites needed to enroll and participate in the SunLight Academy courses and/or to take the final exams. Furthermore, the Client declares to having met all the required prerequisites specified for each different program offered by SunLight Academy.

9. Royalties

The courses and related materials are the exclusive property of SunLight Academy. It is therefore forbidden to make any kind of copy or reproduce the material or distribute to third parties any of the content of the courses, even partially, without prior written authorization from SunLight Academy.
By registering to the SunLight Academy programs, you acknowledge and agree that all content and materials made available by SunLight Academy during the training and at all SunLight Academy or in SunLight Academy literary or digital works are protected by copyrights, trademarks, service marks, trade secrets, or other proprietary rights and laws.
Except as expressly authorized by SunLight Academy, you agree not to sell, license, rent, modify, distribute, copy, reproduce, transmit, publicly display, publicly perform, publish, adapt, edit, or create derivative works from such materials or content. Reproduction, copying, creation of derivative works, or redistribution for commercial purposes of any materials or design elements of SunLight Academy’s intellectual property is strictly prohibited without the express written permission of SunLight Academy. Permission is granted in SunLight Academy’s sole discretion.

10. Failure to perform & complaints

SunLight Acdemy shall not be liable for any failure to perform or any delay in performing its obligations if the failure or delay is due directly or indirectly to any cause beyond the reasonable control of the organization, its employees, agents or representatives which shall include, but is not limited to, the following Acts of God: fire, flood, explosion, accident, civil disturbance or emergency or periods of armed conflict.

11. Disputes

The Client agrees that in the case of any dispute, they will cooperate in good faith to try and resolve the matter internally, referring it to the respective Trainer or contact person in SunLight Academy, before taking legal action. The delivery of the courses and the Proposals are governed by the law of the country in which the contract has been signed.

It is the policy of SunLight Academy that defines the followings:

Participants who wish to report discrimination are encouraged to follow the grievance policy outlined next. SunLight Academy will promptly investigate all claims and reports of inappropriate conduct.


Grievance Policy

SunLight Academy seeks to ensure equitable treatment of every person and to attempt to solve any grievances in a timely and fair manner. Participants have the right to file a grievance regarding presentation or content, facility concerns, or instructor/faculty behavior. All grievances will be addressed to the best of our ability to prevent further problems. A process for filing grievances can be found below:
A participant should first attempt to resolve the issue directly with the educator/trainer, staff, or participant with whom they have an issue. If participants are not comfortable approaching the individual, they can proceed to step 2.
If participants are not comfortable approaching the individual with whom they have a grievance, or are unable to resolve the issue directly, participants should submit a written grievance to the program manager within 10 days. The program manager will review the issue and talk to the student within 2 days of receiving the complaint. The program manager will work with all parties involved to resolve the issue.
If a participant does not feel the issue is resolved, a written request for an appeal should be sent to info@sunlight.academy for review. This appeal should include the original complaint and reason(s) the participant is unsatisfied with the resolution attempt(s). Appeals are reviewed and a written response will be provided to the participant within 5 days. All appeal decisions are final.

Participation Policy

Success in our program requires a full commitment by all participants. By enrolling in this course, participants agree to be fully present during all sessions and participate to the best of their ability. This includes arriving on time, abiding by the code of conduct, and engaging in course activities.

Attendance

In order to provide you with the minimum required training hours for certification, it is important that you are present at all course meetings.

If you have an emergency or become ill and are not able to attend a coaching session, please contact your instructor or Cristina Campofreddo, MCC Director of Education at Sunlight Academy immediately. You will be expected to complete the session materials, review the session recording, and complete a coaching session outside the live session to make up for the missed session. If you need to miss more than 10 hours of the course, you will have the option to work with the instructor to cover the missed material at your own expense or register for another course. If you miss more than 4 hours of mentor coaching, you will need to arrange and pay for individual mentor coaching sessions to complete the required 10 hours of mentor coaching to satisfy the International Coaching federation’s requirements.
Petitions to this policy are considered on a case-by-case basis and must be submitted in writing to the instructor and SunLight Academy.


Course Engagement

Our courses are designed to be interactive and engaging for our participants. It is therefore an expectation that you participate in course activities, including dialogue with the course instructor and peers, mock coaching activities, and experiential learning exercises. If you are unable to participate in an activity, please inform your instructor as soon as possible. Please refer to the code of conduct for additional details.

Code of Conduct

Participants are expected to conduct themselves in a professional manner during all sessions. This includes, but is not limited to:


  • Arriving on time to all sessions
  • Attending all live sessions and mentor coaching sessions
  • Having your camera on for virtual live sessions
  • Participating fully in all sessions and mentor coaching sessions. This includes being prepared for the session, involving yourself in discussions and activities, assuming responsibility for your learning, and contributing to the learning of others
  • Engaging in discussions with integrity and honesty
  • Being respectful of your fellow participants and instructors, including silencing your cell phone, not texting, and other disruptive behaviors
  • Embracing diversity and inclusion while respecting the dignity and humanity of others


Partial Completion Policy

SunLight Academy will offer credit for partial completion of a course. The number of hours awarded will depend on the number of hours of curriculum received. If you are interested in receiving partial credit for a course in which you are currently or were previously enrolled, please contact our academy at info@sunlight.academy no more than 10 days after the course has ended. Please include details about the course in which you were enrolled, the number of credit hours you are seeking, and any additional relevant information. If approved, you will receive a certificate of credit from SunLight Academy indicating the number of training hours completed.

Payment/Fees Policy

All registrations are secured on a first-come, first-served basis. Your registration in a course is dependent upon receipt of full payment. We accept payment by bank transfer. All payment will be in euros.

Refund Policy

For cancellations from the SunLight Coaching Diploma, SunLight Academy will charge the amount of 520 € to cover the training hours delivered and all the admin fees.Refunds will be made within 5 days following receipt of cancellation or withdrawal requests.

Registration Modifications

Modifications to registration, including substitutions of participants or transfer of course dates, must be completed at least seven days before the program date. Participants may contact SunLight Academy to modify their registration at info@sunlight.academy. Course changes will be allowed as long as there are spots available.

Transfer of Credit Policy

Will accept partial credit from other organizations or programs
If you have completed a Level 1 program at another organization, we will apply your completed credit hours to your Level 2 program. You must provide documentation of your Level 1 completion, including the organization, number of hours completed, completion certificate, and contact information for the organization or trainer. You may be asked for additional details or documentation on an as-needed basis. Please contact SunLight Academy at info@sunlight.academy for more information.

Statement on Ethics, Integrity, Transparency

As an ICF Accredited provider, our organization adheres to and emphasizes the International Coaching Federation Code of Ethics. The ICF Code of ethics describes the ICF core values, ethical principles, and standards of behavior for all ICF professionals. Meeting these ethical standards of behavior is the first of the ICF core coaching competencies. You can read more about the ICF Code of Ethics here.


Additionally, SunLight Academy commits to acting with integrity and transparency. We hold ourselves and our participants to the highest level of integrity and strive to be as transparent as possible by explicitly stating measures being taken to provide programs in an ethical manner. We do not believe in using manipulative or dishonest sales tactics and strive to provide a safe and ethical sales process. Further, we work to provide fair and equitable pricing for all programs to ensure access and quality of coaching education.


Rules to be entitled to receive a full Level 2 certification (former ACTP)
  • 104 hrs in synchronous attended with an average rate of attendance of a min of 8 hrs per month (individual + group meetings) completed within a maximum of 18 months from the contract signature (not negotiable)
  • 26 hrs of self study hrs completed within 12 months from the contract signature date
  • before completion of the first 10 hours of training, the student plan with the trainer the whole timeline and attendance of the lessons to be completed and submit it as signed
  • lessons booked by the student and unattended are counted as attended and paid
  • absence from lessons for more than 4 weeks in a row are not allowed (this needs to be agreed with trainer for solid reasons)
  • the student submits all the works required for the certification in due time (when indicated by the trainer in relation to the progress of the student)
  • the student submits to the trainer a minimum of 6 coaching sessions (audio + transcription + self assessment)
  • 2 sessions of the 6 mentioned above need to perform at the PCC Level to receive the ACTP Level 2 certification
  • if PCC level is not performed by the student or if a partial attendance to the course is produced, the participant will receive a partial completion certificate for the hours attended and in relation to the coaching level demonstrated in the recordings; this certificate can be used to apply for an ICF credential through the portfolio path or for credentialing renewal purposes.
  • all payments in order as agreed in the contract
  • within the first 90 days from contract signature the participant is required to fulfill all the followings:
  1. cover at least a minimum of 25 hours in synchronous
  2. submit the coaching definitions work
  3. submit the draft of the book presentation
  4. submit the first assessment of a coaching session
  5. submit the first recording of a coaching session + transcription + self assessment

If this does not occur, the Academy is entitled to issue to the participant a partial completion certificate for the attended hours. This certificate can be used to apply for an ICF credential through the portfolio path or for credentialing renewal purposes.
